Service Overview

PDF Editing That Respects
the Original Document

"Anyone can drop a text box over a PDF. The skill is making the change invisible."

SBTEXMEDIA provides professional PDF editing for businesses that need a document changed properly — not patched. Led by Bayazid Kajol, founder of SBTEXMEDIA, this service covers everything from a single corrected figure in a contract to a complete structural rebuild of a scanned, image-only document that has no source file left anywhere in the company.

The distinction matters more than most people expect. A PDF is a finished, print-oriented format. It was never designed to be edited, which is why so much amateur PDF work looks obviously amateur: mismatched fonts, text boxes that sit on top of the page rather than inside it, white rectangles covering old content, and a document that falls apart the moment anyone searches it or opens it on a phone. I work in Adobe Acrobat Pro with the underlying document structure — fonts, layers, text flow, tagging and metadata — so the finished file behaves like it was authored that way from the beginning.

Typical work includes editing text and figures, swapping logos and images, rebuilding layout and pagination, running OCR on scanned files to make them searchable and editable, merging and splitting documents, permanently redacting confidential content, compressing oversized files for email, and preparing print-ready artwork. Where a client needs the document to collect information afterwards, the same file can be extended into a fillable PDF form.

The Real Cost

Why Professional PDF Editing
Matters

A badly edited PDF does not look slightly worse. It quietly costs you credibility, time and sometimes legal standing.

Most businesses discover the value of proper PDF editing at an awkward moment. A price list goes out with last year's figures. A contract template still carries the previous company address. A proposal arrives at a major client with a stretched, pixelated logo because someone dragged a low-resolution image over the old one. The document is not catastrophically broken — it is just visibly careless, and it is representing you to someone who is deciding whether to trust you with money.

The second cost is functional. When a PDF is edited badly, it usually stops behaving like a document. Text pasted as an image cannot be searched, copied or read by a screen reader. Content hidden behind a white box is still fully present in the file and can be recovered by anyone who selects the text underneath — a genuine confidentiality failure that has embarrassed law firms, government departments and recruiters. Fonts substituted during a careless edit cause reflow, so the version you approved on your screen is not the version your client prints in another country.

The third cost is repetition. Businesses that cannot edit their own PDFs properly tend to work around the problem forever. They keep a separate errata sheet. They email a correction after every send. They recreate the entire document from scratch each year because nobody can modify last year's version. That workaround has an ongoing labour cost that never appears on any invoice, which is exactly why it survives for years without anyone questioning it.

Professional editing removes all three. The corrected document is visually seamless, structurally sound, searchable, accessible and — critically — leaves you with a file that can be edited again next time. Where the source has been lost entirely, I rebuild it so that you own a genuinely maintainable master going forward rather than a slightly better dead end. That principle runs through everything at SBTEXMEDIA, from Microsoft Word formatting to Excel template design.

What You Get

Benefits of Professional PDF Editing

Six outcomes that separate a properly edited document from a patched one.

01
🎯
Invisible, Seamless Edits
Fonts are matched or embedded, spacing and kerning are preserved, and reflow is corrected across the whole document. Nobody reading the finished file can tell where the change was made.
02
🔎
Searchable & Selectable Text
Edited content stays real text, not a flattened image. Your document remains searchable with Ctrl+F, copyable, indexable by search engines and readable by assistive technology.
03
🔐
Genuine Redaction
Sensitive content is permanently removed from the file structure, not hidden behind a black box. What is redacted cannot be recovered by selecting, copying or extracting the underlying text.
04
📱
Consistent Everywhere
Every file is checked in desktop Acrobat, on mobile and in a browser preview, because all three render PDFs differently. What you approve is what your client actually sees.
05
⚖️
Optimised File Size
Oversized PDFs get compressed intelligently — images downsampled to the right resolution for their purpose, unused fonts and objects stripped — without the blurring that generic online compressors cause.
06
Accessibility Preserved
Tagged structure, logical reading order and meaningful alt text are maintained through the edit, so the document still meets accessibility expectations after it has been changed.
Is This For You?

Who Needs PDF Editing

If any of these sound familiar, this is the service you are looking for.

01
📄
You've Lost the Source File
The designer left, the software licence lapsed, or the original was never handed over. You have a PDF and nothing else — and you need it changed anyway.
02
🖨️
You Work From Scanned Documents
Contracts, certificates, manuals and archives that exist only as scans. You need them searchable, editable and usable rather than photographs of paper.
03
🔁
You Update the Same Document Often
Price lists, rate cards, policy documents and catalogues that change quarterly. You need a maintainable master instead of rebuilding from zero each time.
04
⚖️
You Handle Confidential Material
Legal, medical, financial or HR documents that must be shared with names, figures or clauses genuinely removed — not merely covered over.
05
🎨
You've Rebranded
New logo, new colours, new company details — and a library of existing PDFs that all still carry the old identity and need bringing into line.
06
📧
Your Files Are Too Large to Send
Brochures and reports that bounce back from email servers or take forever to load, needing compression that does not destroy image quality.
Sector Experience

Industries Served

Twelve-plus sectors, each with its own conventions around documents, records and compliance.

Industry context changes what "correct" means in PDF work. A redacted legal exhibit answers to disclosure rules. A medical record answers to retention and privacy requirements. A construction drawing answers to scale accuracy and print fidelity. Over eight years I have built working literacy across the sectors below — enough to ask the right questions before starting rather than discovering the constraint halfway through.

How It Works

Our Process

The same six steps on a one-page correction and a 200-page rebuild. Predictability is the point.

Most disappointing freelance experiences are caused by an absent process rather than weak skills. Work disappears into silence, the first draft arrives as a surprise, and the revision round turns into a disagreement about what was actually agreed. Every PDF editing project at SBTEXMEDIA follows the same sequence specifically so that none of that happens to you.

1
File Review & Feasibility
You send the PDF. I inspect what it actually is — real text or a scan, embedded or substituted fonts, its layer structure, its resolution — and tell you honestly whether it can be edited in place or needs rebuilding. This assessment is free and comes before any quote.
2
Written Scope & Fixed Quote
You receive a written summary of every change, the file formats you will get back, revision rounds and a delivery date, at a fixed price. Nothing starts until you approve it, and nothing outside that scope appears on your invoice later.
3
Preparation & OCR
Scanned documents are deskewed, cleaned and run through OCR with the output proofread against the original — automated text recognition is never trusted blindly. Missing fonts are sourced or matched, and the document structure is repaired before any editing begins.
4
Editing & Rebuilding
The actual changes are made at document level rather than as overlays — text edited in its real flow, images replaced at correct resolution, layout and pagination adjusted so nothing downstream shifts out of place.
5
Multi-Environment Testing
Every file is opened in desktop Acrobat, on mobile and in a browser preview. Text is search-tested, redactions are extraction-tested, and print output is checked for bleed and margins where the document is destined for paper.
6
Delivery & Aftercare
You receive the final PDF in every agreed format, plus an editable source where one has been created, and a short note on maintaining it yourself. Revisions are handled promptly and I answer questions long after the invoice closes.

Good Questions

Frequently Asked Questions

The questions clients ask before sending me a PDF. For broader questions, see the main FAQ page.

Yes — this is the majority of the work I do. A PDF carries its own fonts, images and layout information, which means it can be edited directly in Adobe Acrobat Pro without the InDesign, Word or Illustrator file it came from. Where the PDF is a flat scan with no text layer at all, I rebuild it instead, and you end up with a maintainable master you did not have before.
Yes. Scanned pages are deskewed and cleaned, then run through OCR to generate a real text layer. I always proofread OCR output against the original rather than trusting it — automated recognition reliably confuses characters like 0/O, 1/l/I and rn/m, and in a contract or invoice those errors matter. The finished document is searchable, selectable and editable.
In almost every case, yes. If the font is embedded in the PDF I edit using that exact font. If it is not embedded, I identify it and either license or closely match it, then check weight, spacing and kerning against the surrounding text. On the rare occasion a perfect match is impossible I tell you before starting and show you the closest option rather than quietly substituting something.
Most standard edits are delivered within 24 to 48 hours. Small corrections are often the same day. Large rebuilds, long scanned documents requiring OCR across hundreds of pages, or full rebranding across a document library typically run three to seven days. Express delivery is available, and every deadline is agreed in writing — in your time zone — before work begins.
When done properly, yes — and this is worth being careful about. Drawing a black rectangle over text in most PDF tools hides it visually while leaving it fully intact underneath, recoverable by anyone who selects and copies the area. I use true redaction, which removes the content from the file structure, then verify it by attempting to extract the text afterwards. That verification step is part of every redaction job.
Yes. Generic online compressors apply one aggressive setting to everything, which is why the output usually looks blurred. I downsample each image to the resolution its purpose actually requires — screen viewing and print need very different figures — then strip unused fonts, duplicated objects and redundant metadata. Large brochures commonly drop by 70–90% with no visible difference.
Yes, and it is a common follow-on. Once a document is clean and correctly structured, adding a form layer is straightforward — named fields, logical tab order, validation, dropdowns, checkboxes, calculations and signature fields. See fillable PDF form design for detail, or ask me to quote both together, which is usually cheaper than commissioning them separately.
Yes, gladly, and before you send anything if you prefer. I routinely handle contracts, medical intake forms, financial records and unpublished manuscripts. Client files stay private, are never used as portfolio examples without written permission, and are removed from working storage on request once a project closes.
At minimum the finished PDF, and where useful a web-optimised version for email alongside a high-resolution print version. Where a rebuild has created an editable source — a Word, InDesign or Illustrator file — that comes to you as well, at no extra cost. You own everything produced for you, and I would rather you be able to make small changes yourself than have to come back to me for every comma.
It depends on page count, whether the file is real text or a scan, and how much rebuilding is required — a single corrected figure and a 120-page OCR restoration are very different jobs. Indicative ranges are on the pricing section, but the reliable answer comes from the free file review: send me the PDF and you get a fixed quote with no obligation.
